Who we are
Texas Convergent (“Convergent,” “we,” “us”) is a student organization at The University of Texas at Austin. This policy describes how the Convergent member portal (the “Portal”) collects, uses, and shares information.

Information we collect
Depending on how you use the Portal, we may collect:
- Account information. When you sign in with Google, we receive your name and email address from Google. We also store a UT EID, a UT email, and a personal email address (which we use to contact you, for example about application decisions) when you claim or complete a profile.
- Profile information. Details you provide such as preferred name, phone number, date of birth, major, college, and expected graduation.
- Applications. Answers you submit when applying, including essays, role preferences, a résumé link, and demographic questions asked on the application.
- Membership and roles. Team placements, officer or lead roles, and related org records for a semester.
- Events and attendance. Check-ins at info sessions, coffee chats, workshops, and other Convergent events.
- Feedback. Reviews, survey responses, and optional portal feedback you send us.
How we use information
We use this information to operate Convergent, including to:
- Create and maintain your Portal account
- Run recruiting, application review, interviews, and team selection
- Track event attendance and membership requirements
- Let officers, leads, and members do their work in the Portal
- Contact you about your application, membership, or events
- Keep the Portal secure and improve how it works
Who can see your information
We do not sell your personal information. Access inside Convergent is limited to people who need it to run the organization — typically current officers, leads, and administrators. Other members may see limited directory or team information when that is part of Portal features.
We use service providers to host and run the Portal, including Google (sign-in) and Supabase (database, authentication, and hosting). Those providers process data on our behalf under their own terms and policies.
We may disclose information if required by law, to protect the safety of members or the University community, or in connection with a request from The University of Texas at Austin.
How long we keep information
We keep account, application, attendance, and membership records as long as they are useful for Convergent operations — for example, returning member history, alumni context, or a later recruiting cycle. You can ask us to update or delete your information using the contact below.
Your choices
You can edit much of your profile while signed in. To request a copy of the information we hold, a correction, or deletion of your account, email memberships@convergent.com. We may retain limited records when we have a legitimate operational or legal reason to do so (for example, attendance history used for org records).
You can stop using the Portal and sign out at any time. Signing out does not automatically delete your account.
Children
The Portal is intended for University of Texas at Austin students and Convergent members. It is not directed at children under 13, and we do not knowingly collect information from them.
Changes
We may update this policy as the Portal or our practices change. The “Last updated” date at the top will change when we do. Continued use of the Portal after an update means you have had a chance to review the new policy.
